HR overview

The HR module runs your staff: who works here, when they work, the time clock, time off, pay, hiring, paperwork and day-to-day team communication.

It has two menus in the main sidebar:

Words used in HR

A Position is the job someone is scheduled for (Front Desk, Coach, Referee). It's called a position so it never gets mixed up with sign-in roles in Users & roles.

Permissions

HR adds two modules to the role matrix under Administration → Location settings → Users & roles:

ModuleLets people
HROpen the HR menu: people, schedules, time off, time cards, documents, hiring, tasks, reports, settings
HR PayrollSee and change pay: wage rates, labor cost, Payroll, Tips, pay columns in reports, SSN last 4
  • Admins always have both.
  • Give HR to managers who build schedules and approve time. Give HR Payroll to whoever runs payroll — it includes everything HR opens.
  • Without HR Payroll, pay amounts are hidden throughout HR and the Payroll and Tips screens don't open.
  • My Work needs no permission — every staff sign-in has it.
  1. Open Administration → Location settings → Users & roles → Roles.
  2. Pick the role (e.g. Manager) and tick HR (and HR Payroll if they handle pay).
  3. Save. People in that role see the HR menu the next time they sign in.

Staff become employees automatically

  • Every staff sign-in (any role except clients) appears in HR → Employees by itself — name, email and active state stay in sync with Users & roles.
  • When you add an employee in HR you can tick Give them a sign-in: AlphaLeague creates the sign-in with the role you pick and emails an invitation to set a password.
  • People without a sign-in (e.g. seasonal referees) can still be scheduled and paid; give them a sign-in later from their profile.

The old Time clock screens moved here

Administration → Time clock now points to HR. Clocking in and out, time clock entries, staff hourly rates, job classifications and the IP restriction all live in HR:

Used to beNow
Time clock entriesHR → Timesheets — old punches were imported as time cards
Staff & hourly ratesHR → Employees → Job & pay
Job classificationsHR → Departments & Positions
IP restrictionHR → Settings → Time clock

The Time clock card on the Dashboard still works — it now uses HR.

Get started in 15 minutes

  1. Departments & positions — HR → Departments & Positions: add departments (e.g. Front of house, Officials) and the positions in each, with a colour and default hourly rate.
  2. Employees and rates — HR → Employees: check everyone is there, give each person their positions and pay rate on Job & pay, and add anyone who doesn't have a sign-in.
  3. Settings — HR → Settings: set Work week starts on (Scheduling), overtime (Overtime), meal and rest breaks (Breaks) and your Pay frequency (Pay schedule).
  4. Kiosk PINs — on each profile, Set kiosk PIN if staff will clock in on a shared device.
  5. First schedule — HR → Shift Schedule: add shifts for next week, then Publish with Notify team ticked.
  6. Time off policies — HR → Time Off → Policies: add PTO and/or paid sick leave.

Importing from Homebase

HR → Settings → Import

  • Load your Homebase export file (JSON). It brings in team members, positions, departments, availability, time off and shifts.
  • People are matched by email, so existing employees are updated rather than duplicated.
  • It's safe to run again: a second run only adds what's new and reports what was already there.

Overview

HR → Overview is the manager's home page.

  • Top cards — Scheduled hours today, Hours worked so far, Wages today, Labor % of sales (sales come from AlphaLeague billing), Active employees and Open shifts today.
  • Today — each shift with its status: Upcoming, Clocked in, On break, Late, No show, Done, plus anyone clocked in without a shift (Unscheduled).
  • Needs attention — flagged time cards, certifications expiring, people onboarding, Manager Log follow-ups, and counts of everything waiting for approval.
  • This week — birthdays, work anniversaries, holidays and who's off.
  • Shortcuts: Open kiosk, Build schedule, Add employee.

Wages and labor % show only with HR Payroll.

Approvals

HR → Approvals is one inbox for everything waiting for a manager:

  • Time off requests
  • Shift trades, covers & claims (including drops)
  • Availability changes

Approve or Decline each one, with an optional note to the employee. If approving a shift request creates a schedule problem (overtime, an overlap…), you're told how many warnings to check on the schedule.

The Also waiting box links to time cards to approve in Timesheets and onboarding uploads to check.
