AI assistant

AlphaLeague's AI helps your team write, find answers and plan — and always leaves the last word to a person. Nothing the AI writes is sent, published or booked until someone presses the button.

Turn it on

Administration → AI → AI assistant (Admins and Managers).

  1. Choose the AI service:
    • AlphaLeague AI — included, no key needed (shown when your AlphaLeague host offers it).
    • Your own account with Anthropic Claude, OpenAI, Azure OpenAI, Google Gemini, Mistral AI, Groq, DeepSeek, xAI Grok, OpenRouter, Together AI, Fireworks AI or Perplexity — paste the API key from that provider. Usage is billed to you by the provider.
    • A model on your own server — Ollama, LM Studio, or any other OpenAI-compatible service (enter its endpoint address).
  2. Enter the API key. It is stored encrypted and is never shown again — the page only says A key is saved.
  3. Choose the Model. Press Save, then List models to pick from the models your account offers. For Azure OpenAI enter your deployment name and the endpoint https://<your-resource>.openai.azure.com.
  4. Press Test connection. A short greeting from the AI means everything works.
  5. Tick Turn on AI features and Save.

Settings worth knowing

SettingWhat it does
FeaturesSwitch each feature on or off (below). The client portal assistant is off until you turn it on.
AI requests per monthA safety limit (default 2,000). 0 = no limit. When it's reached, AI buttons explain that the limit is used up.
Longest answerThe longest answer the AI may write, in tokens. 8,000 suits most uses; raise it if a "thinking" model returns empty answers.
Allow client namesOff (default): names are replaced with placeholders before anything leaves AlphaLeague, and put back in the answer. Payment details, emails and phone numbers are never sent.
Usage this monthRequests and tokens per feature, and the last failures with the provider's own error message.

Writing assistant

Next to the text box in Email campaigns, Website → News, Programs (description) and a league's Online registration (description) you'll find Write with AI:

  • Write it for me… — describe what it's about, who it's for and the facts to include (dates, prices, links). The AI won't invent facts; anything missing appears as a placeholder like [date].
  • Improve, Make it shorter, Make it friendlier, Make it more formal, Fix spelling & grammar.
  • Change it… — tell it what to change ("mention the new parking").
  • Translate to English, Spanish, French or Arabic.
  • Suggest subject lines — pick one of three.
  • Undo puts your previous text back.

Email campaigns: personalise, test, schedule

  • Personalise — insert {FirstName}, {LastName}, {FullName} or {FacilityName}; each client gets their own values. Plain text keeps its paragraphs in the email.
  • Send test — one copy to you (sample name Alex Sample, subject starts with [TEST]).
  • Schedule — pick a date and time; the campaign goes out within five minutes of it. Unschedule to stop it. If a scheduled send fails, the reason shows on the campaign.
  • Drafts can be edited (pencil) and deleted.

Ask AlphaLeague (help)

The Ask AlphaLeague button (bottom corner of every staff page) answers how do I…? questions from this guide, in your language, with links to the pages it used. It can't see or change your facility's data.

Smart league scheduling

Leagues → (league) → Teams → Generate schedule opens the schedule wizard:

  1. Fields and the reservation type.
  2. Dates & times — first and (optional) last date, days of the week, several kick-off times, game length.
  3. Settings — how often each pair meets (once, or home and away), games per team per week, back-to-back double headers, skip dates (holidays), and Replace the current schedule (only while no game has a result).
  4. Team preferences — a day, kick-off time, date or field that a team prefers or should avoid; tick Priority for must-haves. With AI on, type wishes in plain words ("Arsenal can't play the late game, no games Thanksgiving week") and press Turn into preferences — check the rows it adds.
  5. Preview — games, anything that couldn't be placed and why, and per-team balance (home/away, kick-off times, days, fields). Explain this schedule gives a plain-language read with suggestions.
  6. Create books exactly the previewed games on the schedule.

Schedule statistics (next to the button) shows the same balance for the league's current schedule.

AI summary on the dashboard

Staff with the Reports permission see AI summary — last 30 days: how revenue, bookings, hours, new clients, registrations and check-ins compare with the 30 days before, unpaid invoices and memberships about to expire — and three suggested actions. It is built from totals only and refreshes every six hours (or press refresh).

Game recaps

On a league's Games tab, a finished game has Recap. Add anything worth mentioning, press Write recap, edit the text, then Publish as news (or save it as a draft news post, or copy it). Player names are only shared with the AI provider if you allow client names.

Client portal assistant

When switched on, clients see Ask us in the portal. It answers questions about your programs and leagues (dates, prices, places left), opening hours, contact details, the notes you add under Extra facts for the client portal assistant, and how to use the portal. It never sees any client's account, and each client can ask up to 30 questions a day.
