Payroll & tips
Payroll and Tips need the HR Payroll permission (see HR overview).
What AlphaLeague payroll does — and doesn't
AlphaLeague works out gross pay for each pay period and exports it to your payroll provider. Taxes, withholding, net pay, direct deposit and tax filing are your payroll provider's job.
Pay schedule
HR → Settings → Pay schedule
| Setting | Notes | Default |
|---|---|---|
| Pay frequency | Weekly, Every two weeks, Twice a month (1st–15th, 16th–end), Monthly | Every two weeks |
| A pay period starts on | Any first day of a pay period; weekly and two-weekly cycles count from it | 5 Jan 2026 |
| Payday (days after period end) | Sets the pay date shown on timesheets and payroll | 5 |
| Lock time cards once approved | Approved cards can't be edited until unapproved | Off |
Overtime rules
HR → Settings → Overtime
| Setting | Default |
|---|---|
| Weekly overtime after (hours) — US federal law: time and a half after 40 hours | 40 |
| Weekly overtime rate (×) | 1.5 |
| Warn managers at (hours / week) | 36 |

- The work week used for weekly overtime starts on Work week starts on (Settings → Scheduling).
- Hours worked on company holidays are paid at the holiday rate and don't count toward overtime. Holidays are set under HR → Time Off → Blackouts & holidays.
- Not legal advice — check your state's rules.
Payroll runs
HR → Payroll lists Pay periods (the Current period and past ones, with the next one as Upcoming). Each run is Not started, Draft, Finalized or Exported.
- Approve the period's time cards in Timesheets.
- Open the pay period. The Draft is recalculated from the time cards every time you open it.
- Check each employee's line: regular / salary, overtime, time off, tips, adjustments and Gross pay. Things to check lists open or unapproved cards and missing rates.
- Add Adjustments — Bonus, Reimbursement or Deduction with an amount and note. They're kept when the draft is recalculated.
- Finalize. Every line is stored as it is now and the period's time cards are locked. If cards are still open or unapproved you can Finalize anyway; those cards stay as they are.
- Export and load the file into your payroll provider, then Mark as exported.
- Reopen a finalized run to change it — possible until it's marked as exported.
- Gross pay includes salary, regular, overtime, double time, holiday, paid time off, card tips, tip pool shares, bonuses and reimbursements, less deductions. Cash tips are reported but aren't part of gross pay (already received).
Export formats
| Format | Use it for |
|---|---|
| Generic CSV | Any provider or a spreadsheet |
| Gusto (hours import) | Gusto |
| QuickBooks Payroll | QuickBooks |
| ADP (paydata import) | ADP |
The Payroll ID on each employee's Job & pay tab is included so your provider can match people.
Earnings statements
Open an employee's Earnings statement to view or Print their earnings for the period. A draft is marked Draft — not final. It shows gross earnings only — it isn't a pay stub or a tax document.
Tips
HR → Tips — tips collected for the pool each day, and how the pool is shared out. Payroll uses the same split.
- Add tips — date, Source (Card, Cash, Other), amount and note.
- Pick a range (Last 7 days, Last 14 days, This month or your own dates) to see card tips, the card fee, cash & other, the Tip pool and the Distribution to each person, by day.
- Tips declared at clock-out are also shown.
Tip settings
HR → Settings → Tips (or Change tip settings on the Tips screen)
| Setting | Options |
|---|---|
| Tip pooling | No pooling — everyone keeps their own tips, Pool and split by hours worked, Split by position percentage, then by hours |
| Positions in the pool | Which positions share the pool; with the percentage method, a Share for each position (must total 100%) |
| Card processing fee deducted from card tips (%) | Comes off card tips before they're shared |
| Split the pool every day | On: each day's tips go to that day's team. Off: the pool is split once per pay period |
| Include declared tips in payroll | Adds tips declared at clock-out to payroll (on by default) |
If some of the pool can't be shared (no eligible hours, or percentages under 100%), the Tips screen says how much.
